Summary of Position

Under the overall guidance and direct supervision of the Administrative Manager, the Office Coordinator provides smoothly operation of central administration office. The Office Coordinator works in close collaboration with staff and vendors of the UCA and ensures consistent service delivery.

Qualification requirements

  • At least a bachelor’s or an equivalent degree in economics or administration related subject is imperative.
  • 3-4 years of working knowledge and experience in the same domain.
  • Ability to handle multiple tasks simultaneously in a fast-paced environment, set priorities, and work independently and in a team environment.
  • Fluency to speak English, Russian, and Kyrgyz is required.
  • Working knowledge of MS Office programmes, knowledge of SAP would be an advantage
  • Punctuality, Responsibility, Flexibility.

Duties

  • Management of the current expenditure on office needs 
  •  Coordination of customers to ensure proper product or service selection
  •  Negotiation with vendors
  • Preparing contracts for maintenance and supplies
  • Provision of rational expenditure of funds for incidental costs (petty cash), reports on the use of funds
  • Management of the logistics of UCA corporate events (meetings, seminars, lectures, trainings in Bishkek and other regions of the Kyrgyz Republic)
  • Coordinate dozens of recruitment events
  • Analyzing and defining the requirements for materials logistics; make plans to purchase supplies; examining the offers
  • Management of the inventory items for the operation of the office
  • Follow up telephone bills, communication services
  • Supervising of building maintenance officers and office cleaners

Other tasks relevant to the core responsibilities and duties of this position, as assigned by the supervisor.

UCA consists of three schools including the Undergraduate School of Arts and Sciences, the Graduate School of Development (The Institute of Public Policy and Administration, the Mountain Societies Research Institute, the Cultural Heritage and Humanities Unit, the Civil Societies Initiative, and the Aga Khan Humanities Project), the School of Professional and Continuing Education, and the Central Asian Faculty Development Programme. UCA’s undergraduate programmes are located at its residential campuses in Khorog, Tajikistan, and Naryn, Kyrgyzstan. The Tekeli campus in Kazakhstan is in the planning stage.
