Common information

Current description defines responsibilities, rights and duties of an Administrative Assistant for the New Generation Academy (NGA). In his/her activities Administrative Assistant is guided by the current labor legislation of the Kyrgyz Republic, university internal policy, decrees and resolutions as well as the present job description. NGA Administrative assistant complies with and performs the following list of job duties below.

Qualification requirements

Required Experience

  1. Bachelor's degree
  2. Experience studying and/or working with international students
  3. Experience working in administrative assistance or office management positions.
  4. Additional experience teaching/working with English Language Learners is desirable

2.2 Required Skills

a.     Fluency in Kyrgyz, English and Russian – ability to read and write documents in all three languages (language ability will be tested);

b.    Excellent computer skills - MS Office package; ability to generate and maintain large amounts of data;

c.     Strong time management skills - task priority setting and timely task accomplishment;

d.    Excellent customer service skills;

e.     Strong communication skills;

f.      Excellent analytical and organizational skills;

g.    Project management skills – ability to plan, schedule, allocate resources, budget, evaluate threats and opportunities, to quickly react to changes and suggest creative solutions to problems;

a.      Attention to details is a must;

b.     Sense of responsibility;

c.      Loyalty to the program’s mission and vision;

d.      Cultural and linguistic awareness and sensitivity to accommodate the diverse NGA student body;

e.      Self-motivation and commitment to fostering of the program;

f.       Multi-task flexibility (ability to perform several tasks at the same time);

g.      Stress management (ability to work under stress);

h.      Professionalism (appearance, communication style, timeliness, tolerance, etc.)

Duties

  1. Create schedules of NGA classes every semester together with NGA Director and Registrar’s Office
  2. Create and submit relevant documents for the Registrar's Office (electronic versions of schedules, list of courses – “semestrovka”- for Class Schedule Journal, and student study cards).
  3. Submit all necessary documents on full-time faculty at the beginning of an academic year or upon HR’s request, and part-time faculty for the fall and spring semester (application for hiring, CV/resume, copies of diplomas, certificates, passports, and other required documents for hiring).
  4. Submit once in a semester reports on faculty workload – Teaching Load - to Human Resources upon their requests and inner procedures.
  5. Collaborate closely with other departments and submit data they request in a timely manner (President’s office, Registrar Office, HR, Library, IT, Admission, Financial Aid and Scholarship offices, etc.) 
  6. Prepare teaching materials requested by faculty (photocopies, markers, office supplies, tests, etc.)
  7. Keep accurate records of office documentation (reports, application, requests, etc.) and oversee incoming and outgoing correspondence. Organize and maintain electronic files in the file directory/Shared Folder for a quick reference.
  8. Provide active and prospective students with information on courses and academic requirements of the NGA program, NGA scholarship requirements, and NGA financial aid requirements

New Generation Academy is a comprehensive academic preparatory program at the American University of Central Asia (AUCA) in Bishkek, Kyrgyzstan. The NGA program offers an intensive one-year or one-semester program that aims at preparing its graduates for higher education. The program seeks to fill the gaps in the public school system to help high school graduates enter a university of their choice. Participants complete a rigorous program in English language and College Mathematics, as well as in the Russian language. All courses are oriented towards developing critical and analytical thinking, academic writing skills, and enhancing the leadership potential of students. Furthermore, we are dedicated to preparing ingenious and charismatic future leaders of Kyrgyzstan, Tajikistan, Kazakhstan, Afghanistan, and other countries. We strive to build a closely-knit multiethnic community, where mutual respect, openness, and acceptance are the guiding principles. The academic year at NGA is divided into two semesters; the latter semester building on the outcomes of the previous one.  NGA students receive over 600 hours of well-structured instruction per year including compulsory clubs, language labs, and practice tests. Additionally, students are offered a range of workshops, clubs, and field trips as co-curricular activities.
