Job purpose: Ensure overall support and assistance in procurement processes of AKF/MSDSP KG in order to ensure effective and efficient operations in the office

Reports to: Procurement and Administration Manager

Qualification requirements

Education

University degree in business, management or related field.

Experience

·        1 year working experience in operational unit.

·        Basic knowledge of international procurement principles

·        Knowledge of local legislation of financial rules and regulations.

·        Work Experience in International Organization will be an asset.

 

Skills/Competencies

·       Strong PC skills (Word, Excel, MS Outlook and Power Point)

·       Excellent interpersonal, written and communication skills

·       The ability to use office equipment such as switchboards, fax machines and photocopiers scanners etc.

·       The ability to work in multi-disciplinary and multi-cultural team

·       Effective organizational skills

·       Time Management skills

Languages

Good verbal and written communication skills in Kyrgyz, Russian and English.

Duties

Assist in supporting role dealing with procurement to the program staff for successful implementation of program activities of AKF KG and MSDSP KG

·       Assist in managing the administrative process throughout the duration of the preparation of the all documentation dealing with procurement (registration of purchase request, preparation of the agreements with suppliers, goods/services receipt notes, goods/services delivery notes, collecting necessary information for purchases, maintain filing system of procurement documentation, etc.)

·       Coordinate with the program and administrative staff procurement process and plan work assignments to ensure timely delivery of results

·       Assist in provision of the purchased materials in full compliance with AKF/MSDSP regulations and KR legislation

·       Maintain appropriated records to ensure that procurement process is accurately documented for accountability

·       Ensure correct and timely payment for goods/works/services in accordance with internal procedures

·       Providing full procurement services for assigned Procurement cases.

·       Monitoring of supplier’s performance with respect to the quality and timely delivery of goods and services

·       Conduct the regular update of agreements’ database and the suppliers’ database

·       Perform registration of Payment Documents into the internal financial system

·       Follow internal regulations of AKF/MSDSP KG

·       Data input into the internal reporting systems

·       Perform other related field duties as assigned by the Line Manager
