Overview:

In partnership with the prime organization, ACDI/VOCA is currently implementing a five-year program entitled “Agro Trade Activity (ATA)” in Kyrgyzstan funded by the United States Agency for International Development (USAID). The aim of the Kyrgyzstan ATA program is to enhance competitiveness of Kyrgyz agricultural businesses while increasing sustainable jobs and incomes and expanding trade with Uzbekistan in the rural areas of southern Kyrgyzstan.

Pursuant to its mission, ACDI/VOCA is seeking for experienced and talented professionals for the Training and Events Manager position. The positions will be based in Osh and responsible for leading the organizational planning, supplier management, and will provide logistics oversight and general administrative support for international and local events and trainings organized, co-organized and/or sponsored by ATA. The Events Manager will serve as the main point of contact for third party organizers and partners and will establish necessary vendor relationships to support the preparation and execution of events. S/he will work closely with the technical team, communications team, and other ATA teams to support the preparation and implementation of trainings and events. S/he will lead team coordination to ensure outcomes and results are appropriately captured in communications and MEL reporting. S/he will be responsible for ensuring training and events compliance with administrative-related USAID rules and regulations and Chemonics policies and procedures.

Qualification requirements

  • Bachelor’s degree in relevant field.
  • Minimum 3 years of experience in events management, communication, training, and other relevant activities, preferably within the international development sector
  • Excellent presentation and communication skills.
  • Prior experience in organizing public events and proven track record in dealing with various vendors, media and suppliers.
  • Experience with public relations, knowledge of logistical aspects, attention to details and excellent organizational skills.
  • Excellent writing, analytical, presentation and reporting skills.
  • Fluent Verbal and Written English skills.
  • Must be able to travel within the regions of Kyrgyzstan.  

Duties

  • Manage event implementation including supporting aspects of the events’ execution and logistics management
  • Identify key stakeholder input necessary for successful event design and implementation
  • Conduct market research for identification of potential event vendors as needed
  • Lead vendor discussions and contract negotiations and maintain supplier relationships
  • Serve as a main point of contact for venues, suppliers, and attendees before and during events
  • Track monthly training and event expenditures and provide guidance to technical teams in developing budgets and materials for events
  • Collaborate with communications team to promote and publicize events as needed
  • Coordinate with video and photo providers, ensuring that visual materials are in good quality, delivered on time, and saved on SharePoint
  • Lead preparation of the Monthly Activity Schedule each month, and update it on the weekly basis coordinating inputs from ATA team members 
  • Utilize training and event evaluations to ensure continual customer satisfaction and implement process improvement or event management tools as necessary
  • Report regularly on event outcomes and results to ATA project leadership
  • Travel as needed to manage large event operations and provide administrative and logistical support
  • Ensure maintenance of events records on SharePoint including participant lists and agendas and timely entries in TraiNet system
  • Ensure events and trainings are compliant with administrative-related USAID rules and regulations and Chemonics policies and procedures
